Cancellation Policy

This Cancellation & Refund Policy applies to boxing-ring rentals, custom-built boxing rings, equipment rentals, installation services, delivery, custom branding, and other services provided by Kelly’s Boxing Ring Builder & Rentals LLC (“KBBR”).
This policy should be read together with the applicable quote, invoice, rental agreement, and other signed customer agreements.

1. GENERAL CANCELLATION POLICY
Customers may request cancellation by contacting KBBR in writing.
Cancellation requests should include:

Event date, if applicable

Reason for cancellation

A cancellation is not considered approved until KBBR confirms the cancellation in writing.

2. BOXING RING RENTAL CANCELLATIONS
Because KBBR reserves specific equipment and dates for rental customers, cancellation fees may apply.
More Than 30 Days Before Rental Date
If the customer cancels more than 30 days before the scheduled rental date, the customer may receive a refund of eligible amounts paid, less:

Non-refundable transaction fees, if applicable

Costs already incurred by KBBR
-
Special-order materials
-
Custom branding costs
-
Other non-recoverable expenses
15–30 Days Before Rental Date
For cancellations made 15–30 days before the rental date, KBBR may retain a portion of the deposit to compensate for reservation, preparation, scheduling, and administrative costs.
Recommended cancellation fee: 25% of the rental amount or the applicable deposit, whichever is greater, subject to applicable law and the customer’s agreement.
7–14 Days Before Rental Date
For cancellations made 7–14 days before the rental date, KBBR may retain:
50% of the rental amount or the applicable deposit, whichever is greater, subject to applicable law.
Less Than 7 Days Before Rental Date
Cancellations made less than 7 days before the rental date may be non-refundable because KBBR may have already committed equipment, personnel, transportation, installation time, and other resources to the reservation.
KBBR may retain amounts reasonably necessary to cover costs incurred and losses associated with the cancellation, subject to applicable law.

3. SAME-DAY CANCELLATIONS AND NO-SHOWS
A same-day cancellation or failure of the customer or venue to make the equipment available for delivery or installation may result in the customer being responsible for applicable:

Rental charges

Transportation costs
-
Labor costs
-
Installation costs
-
Scheduling costs
-
Other documented expenses
Refunds are generally not available for no-shows or same-day cancellations, except where required by law or otherwise approved by KBBR.

4. CUSTOM BOXING RING ORDERS
Custom-built boxing rings require materials, labor, engineering, preparation, and manufacturing time.
Once KBBR has purchased materials or begun production, cancellation may result in the customer being responsible for costs already incurred.
Before Production Begins
If a customer cancels before production begins, KBBR will determine the refundable amount based on:

Materials purchased
-
Design work completed
-
Administrative costs
-
Payment-processing fees
-
Other documented expenses
After Production Begins
Once manufacturing has begun, the customer’s deposit may be non-refundable to the extent it covers costs already incurred or committed by KBBR, subject to applicable law.
If a partially completed custom ring is canceled, the customer may be responsible for additional documented costs.

5. CUSTOM BRANDING CANCELLATIONS
Custom branding may include:

Corner-pad graphics
-
Ring-apron graphics
-
Logos
-
Printing
-
Embroidery
-
Leather work
-
Custom colors
-
Custom materials
Once custom branding has been approved and production has begun, branding charges may be non-refundable.
The customer is responsible for approving spelling, colors, logos, artwork, dimensions, and other submitted information before production.

6. DELIVERY AND INSTALLATION CANCELLATIONS
If delivery or installation has already been scheduled, cancellation may result in charges for:

Reserved labor
-
Transportation
-
Travel
-
Fuel
-
Equipment preparation
-
Personnel scheduling

Other documented expenses
If KBBR has already dispatched personnel or equipment, the customer may be responsible for applicable costs.

7. WEATHER-RELATED CANCELLATIONS
For outdoor events, customers are responsible for monitoring weather conditions and communicating concerns to KBBR as early as possible.
KBBR may postpone or reschedule delivery or installation when weather conditions create an unreasonable safety risk.
When possible, KBBR may offer a rescheduled rental date subject to equipment availability.
Any refund or credit will depend on:

Timing of the cancellation

Costs already incurred

Equipment availability
-
Weather conditions
-
The applicable rental agreement

8. KBBR CANCELLATION
KBBR reserves the right to cancel or refuse a rental or service when reasonably necessary because of:

Unsafe conditions

Equipment failure
-
Serious equipment damage
-
Severe weather
-
Emergency circumstances
-
Nonpayment
-
Fraudulent activity
-
Misrepresentation
-
Venue restrictions
-
Circumstances outside KBBR’s reasonable control
If KBBR cancels a rental before delivery because the equipment cannot reasonably be provided, KBBR will work with the customer regarding a refund or rescheduling, subject to the applicable agreement and law.

9. EQUIPMENT DAMAGE BEFORE RENTAL
If equipment becomes unavailable because of unexpected damage, mechanical problems, or another circumstance before a customer’s rental date, KBBR may:

Provide replacement equipment;

Offer a comparable rental;
-
Reschedule the rental; or
-
Provide an appropriate refund or credit.
KBBR will make reasonable efforts to minimize disruption to the customer’s event.

10. RESCHEDULING
Customers may request to move their rental to another date.
Rescheduling is subject to:

Personnel availability

Delivery schedule

Installation schedule

New event date

Applicable fees
A rescheduling request is not guaranteed until confirmed by KBBR in writing.

11. TRANSFERRING A RENTAL
A customer may not transfer a rental reservation to another person, business, event, or venue without KBBR’s written approval.
A transfer may require:

12. REFUNDS
Approved refunds will generally be issued using the original payment method when reasonably practicable.
Processing times may vary depending on the payment provider.
KBBR is not responsible for delays caused by banks, credit-card companies, payment processors, or other third parties.

Depending on the circumstances, the following may be non-refundable:

14. CUSTOMER CHANGES
Changes requested by the customer after an order has been approved may result in:

Additional charges

Cancellation of the original order
KBBR will notify the customer of material additional costs when reasonably practicable.

15. FAILURE TO PAY
If a customer fails to make a required payment by the applicable due date, KBBR may:

Suspend preparation

Cancel the reservation

Withhold delivery

Withhold installation

Cancel production

Apply applicable cancellation terms

Seek payment of amounts legally owed
